Dear Fellow GTD'er,

About three years ago I picked up David Allen’s book Getting Things Done at the bookstore. I’d never heard of Allen before but on an impulse I purchased his book.

He described a better way to work and keep track of your commitments, or “open loops” as he calls them. Getting it all “out of your head”, processing “in”, setting up your “buckets” and the “weekly review” were the keys to stress-free productivity.

Immediately, I was hooked. I carried the book everywhere. I read and re-read the book several times. I set up the system and started running it. Despite being overwhelmed by paper and email, I felt like I could finally get a handle on my workflow. My stacks started getting smaller and my email got down to zero one day. Hallelujah!

Later, I scoured his message boards for tips. I found some cds called Getting Things Done Fast on ebay and listened to them in the car everywhere I went. I even became a GTD Connect member.

"I became a GTD junkie."

Then, I discovered that instead of stacks of papers, my stacks had been transformed into lists and they were easier to carry around, and while things had gotten organized, they weren’t getting done.

I started looking at all the tools I was using. Were they the best ones? Could I find better ones? If I only had better tools, the things on my list would get done. Maybe if I reworded them that would help, I’d think. I spent a lot of time tweaking my system.

And when I did get to a weekly review, I found that it took a few hours to complete. By the time, I got down to figuring out my next actions, I was really, really ready to be done with it because I spent a lot of time processing during my weekly review instead of actually reviewing.

Before I knew it, I’d fallen off the bandwagon and lost trust in my system.

Then, one day I picked up his book again. I re-read a part in the book about being a martial artist and I saw some posts on the internet talking about being “black belt at GTD” and I wondered how can I get to this black belt status? And, what does it look like?

I then put a new project on my project list:

  • Become Black Belt at GTD

Then I asked myself “what’s the next action?” and added it to my @ Office list.

So, I sat down one day and took a long hard look at each component of my system and asked:

"What does black belt look like?"

The first place I analyzed was the front end of my system, my inboxes. At first it wasn't easy, but now I get all of my inboxes to zero each and every day.
